Bilingual Birdies is seeking an outstanding candidate who is an enthusiastic bilingual education fan, loves solving problems and crossing items off their to-do list, is highly organized and detail-oriented, and has the ability to balance multiple projects and prioritize them according to the team’s needs and resources. In this role, you will work directly with the Program Manager, Indra Palomo, and the CEO & Founder of Bilingual Birdies, Sarah Farzam. You will be an active force in supporting Bilingual Birdies’ culture across our team of driven creatives with a diverse set of backgrounds, cultures, and languages. You will be a liaison between our school partnerships, parents, and Bilingual Birdies teachers and help mitigate any issues that arise, facilitate communication, and ultimately ensure customer satisfaction along with teacher retention. About Bilingual Birdies

Bilingual Birdies is a bilingual early ed program for children in NYC and beyond. The program trains Bilingual Teaching Musicians and makes partnerships with preschools to teach weekly language lessons through music, movement, and puppetry. Languages offered include Spanish, French, Mandarin and English. In home private lessons are also available and the Bilingual Birdies Band leads fun concerts around the city. Bilingual Birdies currently educates nearly 3,000 children per week in NYC. Licensees operate programs in San Francisco, Asheville, and St. Louis.

Full Job Description

Daily Tasks and Work Flow

  • Answer phone calls from the mainline.
  • Participate in daily 10 minute admin scrum meeting to communicate progress of tasks and projects.
  • Communicate over chat any urgent messages, questions, or comments throughout the shift.
  • Utilize a project management software throughout the shift.
  • Use Google Office (spreadsheets, documents, and presentations) for all administrative duties.
  • Provide assistance with administrative tasks related to inventory or payroll.
  • Other duties as assigned.

Recruitment & On-boarding Teachers

  • Support hiring efforts by managing job postings, candidate responses, and the on-boarding/training of new teacher contractors by keeping organized with data collection in Google Drive folders and effectively communicating Bilingual Birdies best practices.
  • Set up Google Calendars for new teachers and maintain their weekly schedules based on client requested changes and substitutes.

Assisting with Teacher Management

  • Assist with managing teachers (staff of 30 regular teachers, substitutes, and band members).
  • Help teachers find substitutes for their classes from our database of qualified substitutes
  • Assist in reviewing policies and procedures with teachers when they are non-compliant with arriving to work on time, 24 hour correspondence over email, or any other issues that may come up.
  • Build forms to help standardize teacher evaluation processes and coordinate monthly teacher check-ins and annual performance reviews.
  • Support our CEO leading up to and during staff meetings: scheduling, drafting agendas, ordering food, taking detailed notes, assigning action items, tracking deadlines, and following up to ensure completion.
  • Improve overall file organization and ensure that file organization systems and information documents are clear and up-to-date. This involves detailed curriculum documents and teacher information.
  • Produce any letters needed for verifying work status of individual teachers.

Maintaining Client Relations with School Directors & Parents

  • Assist with new school set up and integration as they onboard with Bilingual Birdies.
  • Field any issues that arise from school directors or parents and ensure the program’s mission, values, guidelines, policies, and procedures are implemented and maintained at all times.
  • Conduct weekly outreach to school and parent clients to ask for feedback and maintain a high level of customer satisfaction.
  • Assist with scheduling and organizing of Bilingual Birdies’ key events, such as quarterly staff training, conferences, internal milestones, and School Director Appreciation Breakfast.

Research and Outreach

  • Research and produce detailed lists identifying targeted areas of up to 5,000 schools where Bilingual Birdies may expand, as directed by CEO.
  • Support any other research and create presentations of new ideas, products, services, or marketing efforts that may come up as directed by CEO.
  • Create templates and mailing lists to facilitate email communication.

What you’ll bring:

  • Excellent written and oral communication skills. Bilingual preferred (Spanish, French or Mandarin).
  • Strong interpersonal skills and building relationships.
  • Strong proficiency with Microsoft Office suite, Google Office, and web applications.
  • Strong time management, organizational skills, and ability to receive constructive criticism.
  • An extreme attention to detail and follow-through.
  • Proven analytical and problem-solving skills.
  • Ability to thrive in a fast-paced environment, flexible to ongoing change, and a professional mature manner.

Requirements

  • Bachelor’s degree and/or its equivalent required
  • Minimum of 2 years related experience in admin, education, assisting events with multiple stakeholders and schedules, or something very similar.
  • Strong attention to detail, organizational skills, work ethic, excellent time management, and interpersonal skills with a high sense of confidentiality and integrity.
  • Command of G-Suite, MS Office, Zoom, Calendly project management software (Redbooth), etc and skillful at navigating technology.
  • Demonstrated ability to work under multiple, simultaneous strict deadlines, and effectively prioritize tasks without details falling through the cracks.
  • Ability to work independently and take initiative, while also knowing when to ask for help.
  • Emotional intelligence and a strong can-do attitude, with the ability to balance patience and persistence while working closely with others.
